What can an Executive Assistant/Customer Experience Manager do for you?

Gone are the days where only managers working in the ‘real world’ corporate offices have an executive assistant. 

The business world is embracing working virtually, and as a result, business owners are discovering how to work with remote executive assistants. You don’t need to see your assistant every day to work together. 

A virtual executive support and customer experience manager will provide you with the top-level backing whether you’re working in a corporate or home office. They’ll look after your clients and represent your business like it’s their own. 

I am a firm believer that being an executive assistant, along with a customer experience manager, go hand in hand. 

How does an Executive Assistant/Customer Experience Manager integrate into your business (virtually)?

Some businesses don’t mind if their clients know they’re using external contractors. For others, they want to give the impression of having an in-house team. And honestly, either way is acceptable these days. 

The clients I work with like me to be associated as part of their team. 

Here are some things you can put in place to make your virtual EA a part of your team:

  • Create an email address that is their name @ your company –e.g. kym@vyva.com.au 
  • Use shared folders (Google Drive, Dropbox etc.) so you can quickly and easily share files without multiple emails back and forwards 
  • Look at using team management software (such as Asana, Trello etc.) to make sure your team knows what needs to be done, can check each day, and get the work done 
  • When you have team meetings, set these up virtually (Zoom etc.) so any of your remote workers can join in and feel part of your business 
  • Share your ups and downs with your virtual EA – they are trained to be your support person and will be there for you through thick and thin if you build that relationship

So, what exactly can a virtual Executive Assistant and Customer Experience Manager do for your business?

Although virtual, an EA can do anything a traditional in-house employee would. Well, that is besides making your coffee and bringing you lunch – although Uber can be arranged!

What I’ve found is that no two businesses are the same. What one client needs is different from the next. So when I start working with clients, I know that a ‘cookie-cutter’ package won’t work. 

It starts with a chat and spending some time upfront to determine if a long-term working relationship is feasible. I don’t do short term, ad-hoc work as I partner with my clients to see their business grow. 

Here are some examples of the work I do as an EA:

  • Look at your admin processes and offer solutions to make them more efficient or automated (if needs be)

  • Assist with the background tasks that don’t generate income so you can be free to focus on your revenue-generating/client-facing work

  • Answer emails and manage calendars to be your gatekeeper 

  • Keep you on track as your accountability partner (I’m an excellent whip cracker)

  • Supporting you to make sure your project is completed, deadlines are met, and things don’t fall into too-hard baskets to delay your goals

  • Keep your clients happy, treating them with respect, answering their questions and following up with them when needs be 

  • And so much more – a bespoke service means it’s fully tailored to you 

One thing to keep in mind is that I’m a fellow business owner, so I know what it takes, and all the bits involved, to run a business. You only pay for the agreed hours and don’t have all those employee-related costs.
